Vacation
Vacation Requests
Employees must submit all vacation requests via Collage for the Operations Manager’s approval. Vacation requests will be approved if project scheduling allows; therefore, vacations should be booked after receiving approval.
Site Superintendents and Lead Hands should review the Collage calendar before requesting vacation to ensure vacations do not overlap with their peers or project teams. If there is a vacation overlap, individuals should use their discretion and discuss it with the Operations Manager to determine whether it is appropriate.
3twenty requests that employees submit time-off requests as far in advance as possible, and whenever possible, at least provide the following notice:
- Requests for a day off must be submitted at least a week in advance.
- Requests for a week or more off must be submitted at least one month in advance.
Approved vacation in Collage will be deducted from an employee’s vacation balance. Employees will receive payment during their time away using any available vacation hours. If employees do not have enough vacation hours to cover their entire vacation, the remainder will be unpaid.
If employees wish to take any unpaid vacation, they must include this in the notes section of their vacation request. Employees are encouraged to take paid vacation. 3twenty will assume that employees prefer to be paid during their time away unless a note is included in their initial vacation request.
It’s up to management’s discretion if either of these requests will be granted.
If your request is not approved and you fail to attend your scheduled shift, the time missed will be considered an unexcused absence. Please refer to the absence and attendance section for further details on how unexcused absences are managed.
Vacation Entitlement
Your vacation is earned based on your years of employment with 3twenty. Our ‘vacation year’ aligns with the calendar year. Permanent full-time employees will be eligible for vacation as follows:
- During the first nine years of employment, employees are entitled to 3 weeks of vacation.
- At the beginning of the 10th year of continuous employment, employees are entitled to 4 weeks of vacation.
Vacation pay is calculated based on your total wages for the previous vacation year. Total wages for vacation pay purposes include your regular rate and overtime.
- During the first nine years of employment, employees are entitled to vacation pay of 3/52 (5.77 %) of their wages.
- At the beginning of the 10th year of continuous employment, employees are entitled to vacation pay of 4/52 (7.69%) of their wages.
Vacation pay will be paid out to full-time permanent employees at the time they take a vacation. Temporary or casual employees will receive vacation pay on each paycheque.
Vacation Payout
Employees may choose to take vacation pay when taking vacation time or at any time throughout the year, provided it is approved by management. To request a vacation payout without taking time off, employees must submit the Vacation Hours Payout request form, available on Collage or linked here. This form must be submitted at least 5 business days before the payday on which employees wish to receive the payout. Otherwise, it may be paid on the next payday.
Vacation Carryover
Unused vacation hours for hourly employees will be paid out on the last pay day before December 25 each year.
Employees who wish to take a vacation during the first 60 days of the next calendar year may be eligible to carry over up to 10 days (100 hours). The Operations Manager must approve vacation carryover and the planned vacation. The employee must submit the Vacation Carryover request form before the end of November each year.
